Executive Assistant to the CEO - Fully Remote (South Africa)
We are excited to announce an opportunity to join our rapidly growing group of companies, led by the founder of D.LOUISE.
D.LOUISE is one of the UK's fastest-growing women's jewellery brands, part of a group of companies turning over approximately £20m per year. The business is scaling rapidly across e-commerce, wholesale and international markets, and the pace is intense.
We're looking for a world-class Executive Assistant to work directly with the CEO across multiple companies and projects. This is not a traditional EA role. You will operate as the CEO's right hand — managing their diary and inbox, joining meetings, planning travel, driving projects forward and making sure nothing, ever, falls through the cracks.
This is a role for an experienced operator. You must have a minimum of 5 years' experience as an EA supporting a founder, CEO or senior executive, and you need to be able to step in and take action from day one. There will be no lengthy onboarding, no training programme and no settling-in period — you'll be trusted with real responsibility immediately, and your experience should mean you already know how to run a CEO's world.
This role is fully remote from South Africa, working across UK and UAE hours.
Key Responsibilities
Diary, Inbox & Communications
Own and manage the CEO's diary end to end, protecting their time and ensuring every day is structured around what matters most.
Manage the CEO's inbox — triaging email, drafting replies in their voice, flagging what needs their attention and handling the rest.
Join meetings alongside the CEO, capture actions and drive follow-ups to completion.
Prepare briefing notes ahead of key meetings so the CEO walks in fully prepared.
Be highly responsive on WhatsApp throughout the day, including outside traditional office hours when priorities require it.
Travel & Lifestyle
Plan and book all travel — flights, hotels, transfers, itineraries — across the UK, UAE and internationally, always thinking three steps ahead.
Make restaurant reservations and handle personal arrangements, switching seamlessly between business and personal tasks throughout the day.
Handle personal admin — gifts, appointments, renewals, household suppliers and family travel.
Projects & Operations
Lead and drive new project ideas from concept through to execution, coordinating people across the group to get things done.
Chase deliverables across the group on the CEO's behalf. If someone hasn't responded, they will hear from you again.
Prepare documents, presentations and one-pagers to a standard ready to be shared with partners, retailers and investors.
Manage expenses and finance admin — expense reports, card reconciliations and liaising with the finance team.
Support board and investor admin — preparing packs, scheduling meetings and circulating minutes.
Plan events — team offsites, launch events and key dinners.
Support the CEO's personal brand — drafting LinkedIn posts and managing speaking and PR inbound.
Anticipate problems before they happen and solve them before the CEO ever has to think about them.
Hiring
Lead on low-level hiring across the group — writing job ads, screening candidates, scheduling interviews and managing the process through to offer.
Handle onboarding admin for new hires — contracts, kit and accounts.
What We Expect
This is not a clock-in, clock-out role. We care about outcomes, not hours.
You will be available on WhatsApp outside of traditional office hours when priorities require it, including occasional weekends.
You should expect messages from around 5am through to 9pm. You won't necessarily be working that entire time, but you must be highly responsive when needed.

You have incredibly high standards and are never satisfied with "good enough."
You Are Not Fit For This Role If:
You have fewer than 5 years' experience in an EA role.
You need onboarding, training or a settling-in period before you can add value.
You have low energy or treat this as just a job.
You want predictable 9–5 hours and a fixed task list.
You need detailed instructions before you can start anything.
You get flustered when priorities change at the last minute.
You've never supported a founder, CEO or senior executive in a fast-moving environment.
You see follow-up as nagging rather than a core part of the job.
You are uncomfortable handling confidential personal and business matters.
You Are Fit If:
You have a minimum of 5 years' experience as an EA or right hand to a founder, CEO or senior executive, ideally in a fast-growth business.
You can hit the ground running — you've run a CEO's diary, inbox, travel and projects before, and you don't need to be shown how.
You bring great energy every single day. You're positive, enthusiastic and someone people genuinely enjoy working with — even when the pressure is on.
You are exceptionally organised, with systems for everything and a memory that never drops a commitment.
You communicate clearly and concisely, in writing and in person, and are confident joining meetings at senior level.
You write well enough to draft emails, documents and LinkedIn posts in the CEO's voice.
You are commercially minded and can run projects, not just tasks.
You thrive under pressure and remain calm when everything changes at the last minute.
You are comfortable working remotely across UK and UAE time zones with a highly responsive, always-connected working style.
You are happy to do some light work on weekends when needed — keeping things ticking over, not full working days.

Salary: R25,000 per month — deliberately well above market rate, because we expect top-level talent who can give their all.
