  • Oversee core accounting workflows, including bank and balance sheet reconciliations, accounts payable and receivable, month-end close, financial reporting, and related bookkeeping activities.

  • Establish and maintain quality assurance standards, review procedures, and internal controls to minimize errors, reduce rework, and strengthen financial reporting reliability.

  • Ensure that financial reports, including Income Statements, Balance Sheets, and customized management reports, are prepared accurately and delivered according to agreed timelines.

  • Oversee the effective use of accounting and property management platforms, including QuickBooks Online, AppFolio, Yardi, and other relevant systems.

  • Monitor service capacity, workload distribution, turnaround times, and delivery risks across accounting teams.

  • Ensure that accounting practices align with applicable accounting standards, client requirements, and OPTIMAL’s internal policies.

2. Client Relationship Management & Strategic Advisory

  • Maintain oversight of key client relationships and support Account Managers in managing complex, sensitive, or escalated client matters.

  • Participate in strategic client discussions involving financial performance, reporting requirements, operational challenges, and opportunities for improvement.

  • Ensure that client expectations, service scope, deliverables, and communication standards are clearly defined and consistently met.

  • Translate accounting findings and financial data into practical recommendations that support client decision-making.

  • Partner with Client Success and Account Management to address recurring concerns, improve client satisfaction, and strengthen long-term client retention.

  • Identify opportunities to improve existing services and support appropriate account growth in coordination with Client Success and leadership.

3. Team Leadership & Performance Management

  • Lead, coach, and develop Senior Bookkeepers, Account Managers, Team Leaders, and other accounting personnel within the department’s structure.

  • Establish clear performance expectations, accountability measures, and development plans for direct reports and team leaders.

  • Monitor team performance through defined KPIs, quality reviews, productivity metrics, client feedback, and service-level commitments.

  • Build a culture of ownership, collaboration, continuous learning, and professional client service.

  • Support workforce planning, resource allocation, succession planning, and hiring decisions in coordination with HR and executive leadership.

  • Address recurring performance issues and ensure that corrective actions are implemented and monitored.

4. Client Onboarding & Service Implementation

  • Oversee the accounting department’s participation in new-client onboarding, ensuring that accounting requirements, scope, workflows, systems access, and reporting expectations are properly established.

  • Coordinate with the Onboarding Manager, Account Management, Client Success, Billing, and Operations to support smooth and timely service launches.

  • Ensure that client-specific procedures, accounting policies, reporting requirements, and transition documentation are complete and accessible to the appropriate teams.

  • Monitor onboarding progress, identify potential delays or implementation risks, and drive timely resolution.

  • Ensure that newly launched accounts transition effectively from onboarding to steady-state service delivery.

5. Process Improvement, Quality Assurance & Risk Management

  • Develop, document, and continuously improve accounting SOPs, workflows, review controls, and escalation procedures.

  • Analyze recurring errors, client complaints, rework, missed deadlines, and productivity issues to identify root causes and implement sustainable corrective actions.

  • Establish consistent quality assurance practices across teams and client portfolios.

6. Performance Monitoring & Strategic Planning

  • Establish and monitor departmental KPIs covering accuracy, timeliness, productivity, client satisfaction, rework, and service-level compliance.

  • Prepare and present regular departmental performance updates, identifying achievements, risks, trends, and areas requiring leadership intervention.

  • Use operational and financial data to guide decisions on staffing, workload allocation, training, process improvements, and service capacity.

  • Develop and maintain departmental action plans aligned with OPTIMAL’s strategic priorities.

  • Contribute to annual planning, budgeting, capacity forecasting, and resource allocation for accounting services.

  • Provide accounting-related insights to support client decisions, internal planning, and operational improvements.

  • Partner with Billing to help ensure that service scope, workload, and delivery arrangements are appropriately reflected in client billing processes.

  • Support leadership decisions involving client risk, staffing, service quality, and departmental priorities.

  • Promote consistent standards, transparent communication, and alignment with OPTIMAL’s values and business objectives.
