We're a conservation-focused organization operating across the US and Mozambique, looking for a sharp, reliable virtual assistant who can also handle light bookkeeping. You'll support a busy executive day-to-day and keep financial records clean and current. This is a long-term, full-time remote role for someone organized, trustworthy, and proactive.
About the Role
You'll work directly with a senior leader on our team, acting as their right hand for administrative work while also owning a defined set of bookkeeping tasks. The mix is roughly 60% executive/admin support and 40% bookkeeping. We value people who take ownership, communicate clearly, and treat the work as if the business were their own.
Executive & Admin Support (~60%)
Inbox and calendar management — triage email, schedule and protect time, handle scheduling across US and Africa time zones.
Drafting and formatting documents, emails, and reports.
Research and data gathering — vendors, options, background for decisions.
Travel coordination and itinerary building.
Tracking tasks and following up so nothing falls through the cracks.
General operational support and ad-hoc projects as they come up.
Bookkeeping (~40%)
Recording transactions and keeping the books current and accurate.
Reconciling accounts against bank and card statements.
Entering invoices and matching them to supporting documents.
Organizing receipts and maintaining clean financial records and filing.
Preparing simple summaries and flagging anything unusual.
Note: this role records and organizes financial information. It does not approve vendors, change vendor payment details, or release payments — those are handled separately by design.
What We're Looking For
Fluent, professional English (written and spoken).
2+ years in a virtual assistant, admin, or operations role.
Hands-on bookkeeping experience and comfort with accounting software (e.g., QuickBooks, Xero, or similar).
Strong with spreadsheets (Excel / Google Sheets) and Google Workspace.
Genuinely organized — you track details and follow through without being chased.
Reliable internet, a quiet workspace, and availability for meaningful overlap with US working hours.
Discreet and trustworthy with sensitive and financial information.
Nice to Have
Experience supporting an executive or founder directly.
Exposure to nonprofit, conservation, or international operations.
Portuguese language ability (useful but not required).

Location: South Africa.
Hours: Full-time with overlap into US business hours (we'll confirm the window together).
Reports to: A senior leader on our team; works closely with our finance function.
