About the Role
We are a well-established law firm in Phoenix, Arizona seeking an experienced and highly organized Office Manager to oversee the day-to-day administrative operations of our firm. This is a pivotal role that keeps our attorneys and legal staff supported so they can focus on delivering exceptional client service.
The ideal candidate brings prior experience managing office operations in a U.S.-based professional services or legal environment and understands how American firms operate — including workplace compliance, vendor relationships, and staff coordination.
Key Responsibilities
Oversee daily office operations to ensure a smooth, efficient, and professional work environment
Manage schedules, calendars, and meeting coordination for attorneys and senior staff
Supervise administrative personnel, including receptionists and support staff
Maintain and organize physical and digital records, client files, and case-related documents in compliance with firm policies
Handle procurement of office supplies, equipment, and vendor contracts
Assist with onboarding new employees and coordinating training schedules
Coordinate with IT and external service providers to maintain office systems and infrastructure
Prepare internal reports, correspondence, and presentations as needed
Support billing, invoicing, and accounts payable processes in collaboration with the finance team
Ensure compliance with workplace regulations, firm policies, and applicable Arizona and federal guidelines
Serve as the primary point of contact for building management, maintenance, and facility-related matters
Required Qualifications
Minimum 3 years of experience as an office manager or senior administrative staff at a U.S.-based firm
Working knowledge of U.S. professional firm operations, including HR basics, vendor management, and compliance
Strong written and verbal communication skills in English
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Demonstrated ability to manage multiple priorities and meet deadlines
High degree of discretion when handling confidential information
Bachelor's degree in Business Administration, Management, or a related field (or equivalent experience)
Preferred Qualifications
Prior experience in a law firm, legal services, or professional services environment
Familiarity with legal practice management software (e.g., Clio, MyCase, or similar)
Experience with billing support or basic bookkeeping
Knowledge of Arizona state employment regulations
