Operations Coordinator
About the role and the company hiring.
The Roebling Team is a boutique Manhattan real estate advisory business focused on residential sales, commercial leasing, market research, and high-touch client service. We are looking for a sharp, highly organized remote operations coordinator to help manage the daily execution behind a growing brokerage platform.
This is not a basic admin role. The right person will be detail-oriented, proactive, polished in writing, comfortable with deadlines, and able to keep multiple deals, clients, vendors, and marketing projects moving at once.
Responsibilities
Manage calendar, scheduling, confirmations, and follow-ups
Coordinate buyer tours, listing appointments, vendor access, and showing logistics
Track active deals, board packages, missing documents, deadlines, and client next steps
Maintain CRM records, client notes, tasks, and pipeline follow-up
Draft polished client emails from rough notes or voice memos
Help prepare listing launches, presentations, market updates, and due diligence materials
Coordinate newsletters, website updates, light content formatting, and research organization
Communicate with clients, agents, attorneys, managing agents, vendors, and internal team members
Create order from messy information and keep projects moving without constant supervision
Ideal Candidate
Excellent written English and professional communication skills
Claude Cowork and Claude Chat fluency required. Claude Design skills required. Interest in Claude Code and ability to experiment and learn is required.
Strong judgment, follow-through, and attention to detail
Comfortable working in a fast-moving, entrepreneurial environment
Familiar with U.S. business culture and client-service standards
Able to anticipate needs, not just wait for assignments
Real estate experience preferred, but not required
Experience with CRM systems, Google Workspace, spreadsheets, Canva, Mailchimp, or similar tools is a plus
What Success Looks Like
You make the business feel calmer, cleaner, and more organized. You catch loose ends before they become problems. You can take a messy voice note, email chain, or task list and turn it into clear next steps. You help ensure clients feel followed up with, deals stay organized, and marketing projects actually get completed.
Hours & Compensation
Full-time
Approximately 30-45 hours per week initially.
Remote role. Must be available for meaningful overlap with New York business hours.
Compensation based on experience.
