About the Role
We are a well established law firm in Phoenix, Arizona, seeking a highly motivated, self-sufficient Remote Legal Assistant to join our team. This is not a position for someone who waits to be told what to do. You will serve as an essential support resource for our attorneys, managing case files, communicating with clients and medical providers, and ensuring that no ball is dropped from intake to resolution. Your attention to detail, organizational discipline, and ability to work independently will be just as important as your legal knowledge.

Key Responsibilities
Medical Records & Documentation
• Request medical records, bills, and treatment notes from hospitals, clinics, physicians, and specialist offices
• Proactively follow up on outstanding medical record requests — maintaining a log and escalating delays appropriately
• Organize, review, and summarize medical records to assist attorneys in evaluating case value and preparing demand packages
• Request and track insurance documentation, police reports, property damage records, and other case-critical materials
• Coordinate with medical providers, lien holders, and third-party record retrieval services as needed
Case Management & File Maintenance
• Manage and maintain active case files in Clio with accurate, current, and complete documentation at all stages of litigation
• Monitor case timelines, statute of limitations deadlines, and court calendars — proactively flagging critical dates to supervising attorneys
• Open new client files, input intake information, and ensure all intake documentation is complete and organized
• Track case progress from pre-litigation through demand, negotiation, settlement, and, where applicable, litigation phases
• Prepare and maintain organized settlement packages and closing files
Legal Document Drafting & Review
• Draft demand letters, correspondence to insurance adjusters, and standard client communications for attorney review
• Prepare and review discovery responses, interrogatories, and requests for production
• Draft routine pleadings, motions, and other legal documents as directed by supervising attorneys
• Ensure all documents comply with applicable court rules, formatting requirements, and filing standards
Client & Provider Communication
• Serve as a primary point of contact for clients — providing case status updates with professionalism, empathy, and clarity
• Communicate regularly with insurance adjusters, defense counsel, and medical providers to gather information and advance case progress
• Schedule and coordinate client meetings, depositions, IMEs, and other case-related appointments
• Maintain a proactive follow-up system to ensure no outstanding communication or request goes unanswered
Administrative & Attorney Support
• Manage attorney calendars, deadlines, and scheduling to ensure efficient daily operations
• Assist with trial preparation, including exhibit organization, deposition summaries, and document production
• Perform general administrative support tasks as needed, including filing, scanning, and document management
• Identify process inefficiencies and suggest improvements to workflows — we value team members who think ahead
Required Qualifications
• Minimum 2 years of experience as a Paralegal or Legal Assistant
• Demonstrated familiarity with all phases of the PI case lifecycle: intake, pre-litigation, demand, negotiation, settlement, and litigation support
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
• Proficiency in Clio case management software
• Excellent written and verbal English communication skills, including professional client-facing correspondence
• Proven ability to work independently, manage multiple concurrent deadlines, and prioritize effectively without direct supervision
• Demonstrated initiative — you anticipate needs, identify gaps, and act without waiting to be prompted
• High level of accuracy and attention to detail in all work product
• Stable, high-speed internet connection and a professional, dedicated remote work environment
• Comfort working across U.S. time zones and with clients in multiple states
