About the role
I'm a creative-minded founder, and I'm looking for the organized, detail-obsessed counterpart to my big-picture thinking. You'll be my right hand: the person who keeps the admin, the numbers, and the day-to-day running smoothly so I can focus on the creative side of the business.
This isn't a junior, task-only role. I need someone genuinely top-notch — proactive, trustworthy, and able to take things off my plate without being micromanaged. If you're the type who loves bringing order to chaos and takes pride in nothing slipping through the cracks, we'll get along well.
Just as important: I want someone open-minded and eager to learn, who's excited about working with AI tools and agents, automating repetitive work, and constantly finding smarter ways to make things run. I'd rather hire someone curious and adaptable who builds better systems over time than someone who just does the same tasks the same way forever.
What you'll do
Keep me organized — manage my calendar, inbox, scheduling, deadlines, and priorities, and keep me ahead of what's coming
Own the numbers — maintain spreadsheets, track and manage accounts, handle invoicing and basic bookkeeping, and build/maintain Excel sheets I can actually rely on
Handle customer service — respond to clients and inquiries professionally, manage communication, and represent the business well
Solve technical issues — troubleshoot the everyday tech and tools we use, and figure things out without needing hand-holding
Help with hiring — source and screen candidates, schedule interviews, and coordinate onboarding as we bring on more people
General right-hand support — anticipate needs, chase loose ends, and keep projects moving
Improve how things run — use AI tools and agents, automate repetitive tasks, and build systems that make the business run more smoothly over time
What I'm looking for
Exceptionally organized, punctual, and efficient — this is the core of the role
Strong with numbers and Excel — comfortable with spreadsheets, formulas, account management, and basic bookkeeping
Excellent customer service instincts — warm, professional, and clear in written and spoken English
Tech-savvy — able to navigate and troubleshoot technical issues independently
Recruiting experience — has helped hire people before (screening, interviewing, onboarding)
Proactive and trustworthy — takes ownership, communicates clearly, and works well with minimal supervision
Open-minded and eager to learn — genuinely interested in AI tools and agents, automation, and continuously improving how things run
Native or fluent English, with reliable high-speed internet and a quiet, professional remote setup
Nice to have
Experience supporting a founder, executive, or creative/entrepreneur
Familiarity with tools like Google Workspace, [your CRM], Xero/QuickBooks, Slack, Asana/Trello
Hands-on experience with AI tools (e.g. ChatGPT, Claude) and automation platforms (e.g. Zapier, Make)
Experience juggling multiple projects at once
