We are a high-growth Amazon Management Agency ($50k MRR / 20+ Clients). We are looking for a Senior Hybrid Professional to serve as the right hand to the Founder.
This is not a "task-taking" role. You are a Silent Operator who will manage the agency’s internal finances, audit our client bookkeeping standards, and protect the Founder’s mental capacity by independently managing operations and administration.
Core Responsibilities
1. Finance & Bookkeeping (The Specialist)
Agency Finance: Manage full-cycle internal bookkeeping (Xero/QBO), including payroll for a global team of 10, invoicing, and expense tracking.
Client Quality Assurance: Act as the "Senior Auditor" for our junior bookkeepers. You will review client financial reports to ensure 100% accuracy before they reach the client.
Operational Reporting: Track agency KPIs (Revenue per Employee, Profit Margins, and Tool ROI) to provide the Founder with a weekly "Health of the Agency" brief.
2. Executive Operations (The Gatekeeper)
Inbox & Calendar Triage: Independently manage the Founder’s communications. Your goal is to resolve 80% of inquiries without the Founder ever seeing them.
Project Liaison: Coordinate between the Founder, the Automation Specialist, and the Senior Head of Ops to ensure tool development and client projects stay on schedule.
Internal Coordination: Manage team meetings, agendas, and follow-ups. You are the "glue" that ensures the 4 junior staff members and seniors are aligned.

The Independent Thinker: You don't ask "What do I do next?" You say, "I noticed X, so I implemented Y to save you time."
The Discreet Professional: You will have full visibility into the agency's finances. High integrity and a "corporate vault" mindset are non-negotiable.
The Silent Operator: You take pride in things running perfectly in the background. You are calm under pressure and can tell a client "No" or "Wait" with total professionalism.
Required Qualifications
Experience: 5+ years as an Executive Assistant or Operations Manager, ideally within a digital agency or for a high-level entrepreneur.
Financial Background: Proven experience in Senior Bookkeeping, Accounting, or Financial Management. (CPA, ACCA, or equivalent degree preferred but not required if experience is extensive).
Tech Stack: Expert-level knowledge of Xero/QuickBooks and Project Management tools (Notion, Slack, WhatsApp, Google Workspace). Experience with the Amazon Seller Central ecosystem is a massive plus.
Location: Ideally based in South Africa or Eastern Europe (to align with our existing leadership team's time zones).
