Job Description

We are seeking a sharp, proactive, and highly capable Executive Assistant to support a senior executive at a fast-growing US-based company. This is not a typical admin role — we need someone who thinks three steps ahead, takes full ownership of their responsibilities, and operates with the highest level of professionalism and discretion.

About the Role:

You will serve as the right hand to the executive, managing a wide range of administrative and operational tasks that allow the leadership team to focus on high-level strategy and growth. You will be the first point of contact for many internal and external stakeholders and must represent the company with polish and confidence at all times.

Key Responsibilities:

  • Manage complex executive calendars across multiple time zones, including scheduling meetings, calls, and appointments with zero conflicts

  • - Serve as the primary gatekeeper for email and communications — drafting, filtering, and responding on behalf of the executive where appropriate

  • - Coordinate domestic and international travel arrangements including flights, accommodations, ground transport, and detailed itineraries

  • - Prepare professional presentations, reports, meeting agendas, and briefing documents

  • - Track action items, project deadlines, and follow-ups to ensure nothing falls through the cracks

  • - Conduct research and compile summaries on topics requested by the executive (vendors, competitors, industry trends, etc.)

  • - Manage CRM updates, file organization, and internal documentation systems

  • - Liaise with clients, vendors, and partners on behalf of the executive with confidence and professionalism

  • - Handle ad hoc tasks and special projects with flexibility and a can-do attitude

Requirements:

  • Exceptional written and spoken English is absolutely required — you will be communicating directly with US-based clients and partners, and your English must be polished, professional, and virtually accent-neutral in writing

  • - Minimum 3 years of experience in an executive assistant, personal assistant, or senior administrative role

  • - Proven ability to manage multiple priorities in a fast-paced, remote environment

  • - Expert-level proficiency with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Slides)

  • - Experience with project management tools such as Asana, Monday.com, Notion, or ClickUp

  • - Familiarity with CRM systems (HubSpot, Salesforce, or similar) is a strong advantage

  • - Impeccable attention to detail and high standards for the quality of your own work

  • - Extremely discreet and trustworthy — you will have access to sensitive business information

  • - Reliable high-speed internet, a professional home office setup, and availability during US Eastern or Central business hours
