About the Role
We are a dental marketing and patient growth consultancy helping established dental practices across Australia attract and convert high-value patients. Our clients rely on us to fill their treatment pipelines with qualified, interested patients who are ready to move forward.
We are looking for a sharp, warm, and persistent Dental Patient Coordinator to own outbound follow-up for inbound dental leads. You will be the first human voice prospects hear after expressing interest, and your ability to build rapport and drive action will directly impact clinic revenue.
This is not a cold calling role. All leads are warm they have already expressed interest through our client funnels.
What You Will Do
• Call and follow up with inbound dental leads on behalf of our client practices
• Qualify leads, answer initial questions, and move prospects toward a booked consultation
• Manage follow-up via phone, SMS, and email using our CRM (Go High Level)
• Document lead status, notes, and outcomes accurately in the pipeline
• Escalate hot leads and booked appointments to the practice team in real time
• Maintain high call volumes and quality standards across each shift
What We Are Looking For
• 2+ years in outbound phone-based customer service, patient coordination, or sales
• Healthcare, dental, or medical admin experience highly regarded
• Excellent spoken and written English – clear, warm, professional
• Resilient and self-motivated – you follow up without being told twice
• Comfortable with CRM tools, note-taking, and working to KPIs
• Reliable home office setup: stable fibre internet, headset, quiet workspace
• Available to work midnight to 10am SAST (aligns with AWST business hours)
